This role will provides administrative and accounting expertise and support to the Project Management team(s) on a variety of projects.
This position is based out of Southern Ontario.
RESPONSIBILITIES
Essential Duties and Responsibilities include, but are not limited to the following:
- Complete project set-up and job closings in Project and Accounting software; set up and issues submittals for new projects as necessary
- Assist with setting up new subcontractors and new vendors as required
- Assist Project Managers to ensure contract extras are tracked and billed; assist in invoicing and gathering of all required documents (WSIB and Statutory Declarations) required for payment
- Set up submittals in Viewpoint, Procore and MS Word for new projects as necessary
- Assist in tracking, monitoring and analyzing productivity data where applicable
- Prepare time and material reports, extras to contracts
- In conjunction with Accounting, run job cost reports as required by Project Superintendent(s) and Project Manager(s); provide feedback to Project Manager(s) on the ongoing cost controls of the projects; provide financial services support to the project team
- Forward appropriate forms to Accounting as required; produces POs and Purchase Contracts for Accounting
- Responsible to receive, record and maintain filing system for contract documents, drawings, revisions, cancellation notices, RFI responses and related document in accordance with Matheson procedures
- Issues transmittal, drawing, electronic file, revision and hold notice confirmations
- Prepare and compile information as required for Project staff working on site
- Provide Viewpoint and Procore support for Project staff and Accounting as required
- Prepares correspondence, meeting minutes, reports, forms, close out documents, O&Ms, and specialized documents; proofreads materials for accuracy, completeness, compliance, formatting, and correct English usage, including grammar, punctuation and spelling
- Perform other duties as assigned to meet business unit and corporate objectives
EDUCATIONAL AND PROFESSIONAL REQUIREMENTS
- Precious experience in project administration
- Proficient in MS Office applications, Viewpoint and/or Procore an asset
- Construction Industry experience an asset; knowledge of Prompt Payment Act an asset
