Job Title: Reception/Office Administrator
Salary Range: $45,000 – $60,000 annually
The Reception/Office Administrator will be responsible for maintaining the office and being the first point of contact for all visitors. Interacting with all departments within Barclay Constructors, this position will include a range of administrative tasks and provide support and assistance as needed.
This position is based out of our Stoney Creek, Ontario office.
Key Responsibilities
Essential Duties and Responsibilities include, but are not limited to the following:
- Responsible for general office administrative/reception duties including answering and directing incoming calls; mail distribution and postage; courier services; greeting, receiving, and announcing visitors.
- Manage all matters pertaining to reception/office appearance and utilities.
- Act as an ambassador of the company, presenting a positive and professional image to all visitors, clients, vendors, and other persons.
- Provide support to department heads on various administrative requirements, like scheduling, filing, arranging meetings where necessary, etc.
- Exercises superior confidentiality and judgement in the management of the Senior Executive Team’s information, priorities, and appointments.
- Maintains necessary records and files (both electronic and hard copy) in an organized, confidential, and effective manner.
- May assist department heads on reasonable business matters including drafting letters, making reservations, arranging meetings, etc.
- Accountable for office supply orders, inventory management and replenishment of standard office items, including printer supplies, stationary, and office supplies (Staples) and beverage offerings.
- Assist in set-up and maintenance of meeting rooms, kitchen/beverage stations and general appearance of the front office area.
- May prepare and process correspondence (including that of a confidential nature) reports, statistical statements, presentations, communications, speaking notes and minutes and manages reviews and approval processes by the Executive Team.
- May perform administrative duties to support the operations group, including filling, printing, inputting data into the company’s project management software, printing daily logs from various construction management systems and file, etc.
- Receiving and managing tender documents and tender submissions.
- Perform other duties as assigned to meet business unit and corporate objectives.
Educational and Professional Requirements
- Diploma/degree in Business Administration or related field, and/or equivalent with 2 – 4 years’ experience in administration.
- Proficient in MS Office applications.
- Knowledge in MS Project an asset.
- Knowledge in Bluebeam and Procore an asset.
- Construction Industry experience an asset.
- Team player, flexible and able to work well with multiple team members.
- Multi-tasking and work within time constraints.
- Effective attention to detail and a high degree of accuracy; sound analytical thinking, planning, prioritization, and execution skills.
- Strong communication skills, verbal and written.
